Paid acquisition for restaurant private events

KVARTAL runs paid advertising that generates private event and banquet inquiries for restaurants, bars and venues — corporate dinners, holiday parties, weddings, baby showers, birthdays, full buyouts. We report on closed event revenue, not impressions.

That is the service this page is about. It is the service we are looking to sell.

Who we are

Most agencies discover restaurants. We came out of them.

Before founding KVARTAL, Rafael Rashitov spent three years running marketing inside New York hospitality groups — Marketing Manager at 7West Hospitality Group (2022–2024), Marketing Lead at EHV International / Flatiron Hospitality (2024–2025) — across Italian, Mexican, Caribbean, Indian and French-German concepts, including a Michelin-endorsed fine dining room.

That means we have sat in the weekly numbers meeting. We have read the POS export to find which nights are soft. We have watched an events team try to close inquiries that were never going to book. The playbook below was not designed for a pitch deck — it was built in-house, venue by venue, and it now runs as an agency.

The problem we solve

A restaurant's private dining room is its highest-margin product and its most under-marketed one. Most venues fill it on inbound luck: word of mouth, a marketplace listing, and whoever happens to find the "Private Events" page. The calendar has holes in exactly the weeks that pay best.

Paid advertising for restaurants has a bad reputation because it is usually run for covers — $4 clicks against a $60 check. Private events invert that math: one booking is worth thousands, so a $54 inquiry is cheap. Almost nobody runs it this way.

Proof — private events

Italian restaurant, New York — 20x on ad spend

Beautiful room, strong kitchen, busy dinner service — and a private events business running entirely on inbound luck. No event marketing, no lead system; the only digital activity was boosting Instagram posts from the app. We built the funnel from zero alongside a new events team on the restaurant's side.

Monthly inquiries went from about 60 to 200+. Booked events nearly doubled year over year. Year three is tracking higher.

Brasserie and cocktail bar, landmark Manhattan hotel — 24x in four months

Five spaces, capacity from 8 to 200+, a bar with national press. Inquiries arrived through word of mouth and an Instagram bio link. Closed events only, direct attribution only — organic inquiries also grew roughly 60% in the same window, and we don't count that.

Italian restaurant, Downtown Brooklyn — 412 inquiries, 68 booked events

A warm room with strong private dining running on referrals alone. The usual approach is one generic "book your private event" campaign — one message aimed at everyone, resonating with no one. A bride and an office-birthday organizer are not the same customer.

So: three Meta campaigns, one per occasion — baby showers, weddings, birthdays — each with its own audience, creative, budget and optimisation. Website forms through Zapier into Meta CAPI from day one.

Segmenting paid for itself in the reporting: weddings $47 per lead, birthdays $53, baby showers $62 — and the wedding lead closed bigger. You cannot see that from one campaign.

Koloman — 294 inquiries, 50 confirmed bookings in three months

Michelin-endorsed French-German fine dining. Private events were a traditionally offline process; we turned them into a measured acquisition funnel — Tripleseat for centralised lead intake, Google Tag Manager for end-to-end attribution from source to confirmed booking, Meta and Google campaigns segmented into corporate events, team dinners, and birthdays and family celebrations, plus Meta CAPI for data accuracy.

Imani Caribbean Kitchen & Bar — from zero inquiries to ~100 a month

A well-regarded Downtown Brooklyn restaurant getting no private event inquiries at all. We built the dedicated events page that didn't exist. Separately, a Thanksgiving catering campaign turned $1,004 in spend into over $27,380 in sales.

Loreto Italian Kitchen & Bar and Las Santas — the same pivot, twice

Both Downtown Brooklyn, both promoting themselves with boosted posts. We audited the ad accounts, read the POS data to find soft seasons, days and hours, then repositioned each venue as an event space with a dedicated inquiry page and Facebook Conversion API tracking.

Two venues, one conversion rate. Brooklyn: 68 booked events from 412 inquiries. Koloman: 50 confirmed bookings from 294 leads. Both land at roughly one booked event per six qualified inquiries — measured independently, years apart, in different concepts.

Proof — the rest of the room

Private events are the product, but the same discipline runs on covers.

Indian restaurant, Midtown Manhattan — $700K on $23K

Soft weekday demand, empty 4–6 PM slots, and a guest database nobody was monetising. OpenTable Ads segmented by day and time window, bids differentiated by format, plus 18 email campaigns. Cost per acquired guest about $6 against a per-person average of $133–151.

Indian Accent — 97.70x on OpenTable

Fine-dining Indian in Midtown, positioned as a dinner destination. We connected the ad platform to the POS so reservations and reservation-driven revenue were measurable, then built brunch and lunch campaigns to fill off-peak hours.

Italian restaurant, New York — owning "italian restaurant near me"

"Italian restaurant near me" at 7pm on a Friday — that person has already decided; the only question is where. Restaurant search is a daily auction and most restaurants bid badly in it. Six months on $100 a day, watched daily: Local Performance Max optimised for calls, directions and reservations rather than clicks, plus brand protection so searches for the restaurant's own name find the restaurant and not an aggregator, at $0.49 a click.

9.3% CTR on the money keyword is nearly triple the account average. The dining room runs 150+ covers at lunch and up to 300 at dinner. This is part of why.

How we do it

  1. Two audiences, two strategies. Corporate planners and decision-makers take roughly 65% of the budget — targeted by role, industry and behaviour. Private celebration hosts are the other 35% — birthdays, weddings, baby showers, anniversaries — targeted by life events and intent signals.
  2. One campaign per occasion, not one per venue. A bride and an office-birthday organiser are not the same customer, and a single "book your private event" campaign speaks to neither. Split them and the reporting starts telling you which occasion is worth more.
  3. Creative tested per segment. Table setups against interiors against food photography. Corporate responds to the room. Celebrations respond to the table. Learned by testing, not asserted.
  4. No native lead forms. Ever. They generate volume and waste everyone's time — low-intent contacts who forgot they clicked. Traffic goes to a dedicated events page and we optimise on submissions there. Fewer inquiries, dramatically higher quality, and an events team that stops chasing ghosts.
  5. Tracking built before scaling. UTM architecture on every ad, inquiry forms wired into the venue's event CRM (Tripleseat), server-side conversion tracking (Meta CAPI via Stape), Google Tag Manager for end-to-end attribution. Every closed event traces back to the click that started it.
  6. The events team is half the system. Marketing generates the inquiry; somebody has to pick up the phone. We work with the venue's event managers on response speed and pipeline, because the number that matters is booked events, not leads.

Ideal customer profile

Independent restaurants and venues that already have a private events product

Restaurant and hospitality groups

Four or more venues under one management company with a dedicated events team. Reach the person who owns the events P&L, not the corporate office.

Job titles to contact

Role-based addresses — events@, catering@, privatedining@ — are valid and preferred targets at independent restaurants. At a single-location venue that inbox is read by the decision maker.

Do NOT contact

Why now

Corporate holiday party bookings are locked in late summer. A venue that starts marketing private events in November is selling into a market that decided in August.

Message angles that are true

How we work

What we do not claim

Next step

A 30-minute strategy call, no pitch deck. We look at the private events page, current inquiry volume and the local competitive picture, and say plainly whether paid acquisition makes sense for that venue.
